AI automation hours-saved and ROI calculator

Estimate how many hours a month AI automation could give back on one process, what that time is worth and how long a build would take to pay back. Use your own numbers; the defaults are only placeholders.

How many times the task happens each month
Average hands-on time for one task
Wage plus benefits and overhead
Be cautious until a prototype measures it
Time a person still spends checking each item
Model usage, hosting and support
Optional: your quote, for the payback period

Runs in your browser. Nothing you enter is stored or sent anywhere.

Estimated result

–hours saved per month
–hours saved per year
–net value per month
–payback period

Estimates only. Measure your real baseline before and after any project.

How the estimate works

The calculator uses the method from our guide to what AI automation costs in Canada:

  1. Monthly hours saved = tasks per month × (minutes per task × share automated − review minutes) ÷ 60.
  2. Monthly value = hours saved × loaded hourly cost.
  3. Net monthly value = monthly value − monthly running cost.
  4. Payback in months = one-time build cost ÷ net monthly value.

Time savings are only part of the picture. Faster turnaround, fewer errors and being able to grow without hiring can matter as much, so name and measure those too. If the net value is close to zero, the process may be better served by a simpler fix, or by a different first project.

Calculator: frequently asked questions

What formula does the hours-saved calculator use?

Monthly hours saved equals tasks per month multiplied by (minutes per task times the share automated, minus review minutes per task), divided by 60. Monthly value is hours saved times the loaded hourly cost, net of monthly running cost. Payback in months is the one-time build cost divided by net monthly value.

What share of a process should I assume AI will automate?

Use a cautious figure until a prototype measures it on your own data. Few processes are fully automated from day one, and some items will always need a person. Try a low and a high value to see how sensitive the result is.

What does loaded hourly cost mean?

The full cost of an hour of the person's time, including salary plus benefits, payroll taxes and overhead, not just their hourly wage. Your accountant or payroll provider can help you estimate it.
